We're Hiring! Executive Secretary/Administrative Assistant.

Job Description: Executive Secretary/Administrative Assistant

Pay Range: $12-15p/h (depending on experience) + benefits

An attentive and dedicated assistant is being sought who possesses advanced organizational, editing and writing composition skills. The assistant will performs various complex administrative or secretarial tasks without supervision as an assistant to the Company's CEO and will also be responsible for handling privileged, confidential and time sensitive information.

Duties will include: reviewing and composing professional correspondence and thoroughly editing documents that often bear a high level of confidentiality, aiding the CEO by coordinating office services such as scheduling and calendars, and arranging for meetings and conferences. Assistant will aid the CEO in preparing for meetings, including printing necessary materials, creating PowerPoint presentations, and reviewing presentations for content/ grammar/ spelling, etc. Assistant will also take notes during executive meetings, distribute appropriate notes, follow up with employees on assignments, compose and distribute company's monthly newsletter, and make sure that information is furnished in a timely manner to executives.

Other duties include: ordering and maintaining office supplies, booking travel arrangements, aiding in budget preparation and control, handling incoming calls, organizing and maintaining files, and faxing. He/she may in the CEO's absence be required to direct information or business requests to the correct employee, and monitor some company projects. He/she will also be in charge of personal correspondence and necessary errands for Executives. Problem solving is a must, as the assistant will at times be required to prioritize tasks received from multiple staff members, as well as coordinate work processes with other departments. Other related duties and tasks may be assigned as needed.

Required Skills: Applicants must possess excellent attention to detail and be extremely well organized. Excellent computer skills are a must including: Outlook, Word, Excel, PowerPoint, and general email and Internet use. Experience with QuickBooks and mail merge is a big plus. Applicants must be extremely trustworthy, and possess excellent written/verbal communication skills. They must convey a welcoming and professional presence -- in person, over the telephone, and through electronic communications -- while dealing with customers, employees, business associates, and high profile guests.

Four years full-time clerical/secretarial experience or equivalent is recommended.
